Thirteen libraries in rural southwest Friesland are merging into one organization. A good time to tackle the contract chaos and save substantially on facility costs such as energy, security and cleaning.

Challenge

From Sint-Nicolaasga to Joure, there are loose contracts in every library branch. The overview is completely lost. How can the Mar and Fean region get its contracts back in order and also save money?

"Really, you can't imagine all the things we got in," the management assistant chuckles briefly, "then they had a coffee machine from so many years ago and it was scribbled on a piece of paper in pen when the maintenance technician would come by. Something like that sits in a box for years. When you face it again, it's barely legible." At the time, the management assistant was collecting all the contracts of thirteen library branches in southwest Friesland. "At each branch, we had a manager who entered into contracts independently," he says.
